Vendor lock-in
When leaving an AI vendor would cost so much that you stay, and how to avoid it.

Short answer. Vendor lock-in is the situation where switching away from a supplier is so costly, slow or risky that you stay even when a better option exists. With AI tools it builds up quietly: chat histories and documents held in one vendor’s format, assistants and workflows built on its features, document indexes built with its embedding model, and contracts that delete data when the subscription ends. Regulators treat exit as something to plan. The EU Data Act requires cloud contracts to allow switching after a notice period of no more than two months, and bans switching charges from 12 January 2027. The RBI’s 2023 direction on IT outsourcing requires banks and NBFCs to have exit strategies, and lists data completeness and portability among the points to evaluate for cloud services. The fixes are contractual and technical: export rights, open formats and standard interfaces.

01

How lock-in happens with AI

SourceExampleHow to reduce it
Data in a vendor’s formatChat history and generated documents viewable only in the vendor’s appExport in DOCX, PDF, PPTX, CSV or JSON whenever you ask
Deletion on exitMicrosoft’s India pricing page notes that when a subscription is cancelled, all associated data will be deletedExport before giving notice, and put a retrieval period in the contract
Proprietary featuresAssistants and automations that run only on one platformKeep prompts, instructions and source documents in your own files
Embeddings and indexesA document index built with one vendor’s embedding model cannot be read with another modelKeep the source documents so the index can be rebuilt; prefer open models
InterfacesIntegrations written for one vendor’s APIUse a standard interface, such as the OpenAI-compatible API that runtimes like Ollama and vLLM offer
ContractsLong commitments and switching feesShorter terms, exit help and fees stated upfront

What regulators expect

  • EU Data Act (Regulation (EU) 2023/2854), applying from 12 September 2025: providers of data processing services must remove obstacles to switching (Article 23); contracts must allow switching, or porting to on-premises infrastructure, within a transitional period of 30 days after a notice period of at most two months (Article 25); switching charges end from 12 January 2027 (Article 29).
  • RBI Master Direction on Outsourcing of IT Services, 10 April 2023: agreements should include termination rights, including the ability to transfer the work in an orderly way to another provider; for cloud services, exit planning should weigh data completeness and portability and a secure purge of data from the provider.
03

A lock-in test before you sign

  • Can we export everything, including chat history, documents, settings and logs, in open formats, at any time?
  • How long after cancellation can we still retrieve data, and is deletion confirmed in writing?
  • Do our integrations use a standard API or the vendor’s own?
  • If the vendor shuts down or raises prices, can we keep running what we have?
  • What are the notice period, fees and help offered on exit?

How ANVE approaches it

ANVE’s models are reachable through an OpenAI-compatible endpoint on the office network, and its makers export decks and documents as PPTX, PDF and DOCX that open in Microsoft Office, Google Docs and Slides, and Zoho. As the /security page sets out, every order includes a perpetual licence for the software delivered with the unit, there is no remote kill switch, and the box keeps working if ANVEAI shuts down.

Questions people ask

Is lock-in always bad?
Not always: deep integration can be worth it. The risk is being unable to leave when price, quality or terms change, so price the exit before you commit.
Does the EU Data Act protect Indian offices?
It is EU law, written for customers in the EU. Its switching terms are still a useful benchmark for any contract: notice, transition, retrieval and deletion.
How do open-weight models reduce lock-in?
You can run the same model on other hardware or with another provider, so the model is not tied to one vendor’s service.
What is the cheapest protection against lock-in?
Regular exports of your own data in open formats, kept outside the vendor’s system.

What is not real yet

No sealed ANVE unit exists; every image of the appliance on this site is a labelled render. The software runs today on a development machine. No customers yet, no certifications, no delivery date, and the final price is not announced.

Reservations are ₹999 in India or US$12 elsewhere, refundable in full until you confirm an order in writing (terms). Offices that cannot use cloud AI can apply to be one of ten design partners.
