Should staff use personal ChatGPT accounts for client work? Usually not. The reasons are about control and duty, not about the tool.
Short answer. Usually not. A personal ChatGPT account sits outside the office’s control: the firm cannot see what was pasted, set retention or switch off training, and OpenAI says it may use individual-plan conversations to train its models unless the user opts out. Professional rules still make the firm responsible for client confidentiality, including for staff it supervises, and India’s data protection law keeps the data fiduciary responsible for processing done on its behalf. Safer options are a managed business workspace, a private system inside the office, or a written policy that confines personal accounts to non-client tasks. This is general information, not legal advice.

The duties that stay with the firm
Chartered accountants: ICAI’s Code of Ethics (13th edition, applicable from 1 April 2026) requires an accountant to take reasonable steps to ensure that personnel under their control comply with the duty of confidentiality (R114.1(d)).
Advocates: rule 17 of the Bar Council of India’s Standards of Professional Conduct says an advocate shall not breach the obligations imposed by section 126 of the Indian Evidence Act. That section bars an advocate from disclosing communications made by or on behalf of the client, or advice given to the client, without the client’s express consent.
Data protection: under the Digital Personal Data Protection Act, 2023, a data fiduciary is responsible for processing done by it or on its behalf by a data processor (section 8(1)), may engage a processor only under a valid contract (section 8(2)) and must take reasonable security safeguards (section 8(5)). The Act’s penalty schedule allows up to ₹250 crore for failing to take reasonable security safeguards. The Rules that detail the safeguards start eighteen months after 13 November 2025. Whether a personal account counts as a processor engaged without a contract is a question for your counsel.
03
How common it is
Microsoft and LinkedIn’s 2024 Work Trend Index, which surveyed 31,000 people in 31 countries, found that 78% of AI users bring their own AI tools to work, rising to 80% at small and medium-sized companies, and that 52% of AI users are reluctant to admit using AI for their most important work. A ban on its own may only push use out of sight.
04
Safer options
Give staff a managed workspace. As of October 2026 ChatGPT Business is listed at ₹1,800 per user per month on annual billing in India, with admin controls and no training by default.
Run a private system for client records, so nothing leaves the network.
Write a one-page policy: which tools, which data, and what to do after a mistake.
Allow personal accounts only for non-client tasks, with training switched off, and say so in writing.

Where ANVE fits
ANVE is a private AI appliance for offices: one device on the office network, with every model call logged with the user, app, model and whether it ran locally or in the cloud. Today it has two roles, administrator and user; single sign-on is not on ANVE yet. Whether administrators can read other people’s chats is a detail to get in writing before a paid pilot. ANVE is pre-release, with no sealed unit yet and no customers.

Questions people ask
Does turning off “Improve the model for everyone” make a personal account safe for client data?
It stops new conversations being used for training, according to OpenAI. It does not give the office retention control, an audit trail or a contract, and a thumbs up or down can still send a whole conversation for possible training.
What if a client file was already pasted into a personal account?
Record what and when, ask the member to delete the chat (OpenAI schedules deleted chats for removal within 30 days) and ask counsel whether the client or a regulator must be told. The DPDP Act defines a personal data breach to include accidental disclosure that compromises confidentiality; whether a paste is one is a legal question.
Can we allow personal accounts for non-client work?
Many policies do, provided they list the data that may never be pasted. Name the categories in plain words and repeat them in training.
Is ChatGPT Business enough for client work?
It adds admin control, no training by default and a data processing addendum, but processing still happens in OpenAI’s cloud and Business abuse-monitoring logs are kept in the United States. Whether that suits a given engagement depends on its terms and your regulator.

What is not real yet
No sealed ANVE unit exists; every image of the appliance on this site is a labelled render. The software runs today on a development machine. No customers yet, no certifications, no delivery date, and the final price is not announced.
Reservations are ₹999 in India or US$12 elsewhere, refundable in full until you confirm an order in writing (terms). Offices that cannot use cloud AI can apply to be one of ten design partners.
