Layout analysis
Working out what is a heading, a table or a footnote before reading the words.

Short answer. Layout analysis is the step that finds the structure of a page, such as headings, paragraphs, columns, tables, figures, captions and footnotes, and the reading order between them. Without it, OCR returns a jumble when a page has two columns or a table. IBM Research’s DocLayNet dataset has 80,863 manually annotated pages with 11 labels (Caption, Footnote, Formula, List-item, Page-footer, Page-header, Picture, Section-header, Table, Text and Title) across financial reports, manuals, laws, patents, scientific articles and government tenders. Its authors found that models trained only on scientific papers lose accuracy on such varied layouts.

01

What it finds

ElementWhy it matters in an office
TableKeeps invoice line items and fee schedules in the right cells
Section headerGives natural boundaries for splitting a document into chunks for search
Page header and footerRepeated text can be dropped from summaries and answers
Caption and pictureTies a figure to its explanation
FootnoteOften carries the exception to the sentence above it
List itemKeeps numbered clauses and lists in order
02

How it is done

Rule-based engines segment a page by geometry. Tesseract offers page segmentation modes: the default, 3, segments the page fully automatically; 4 assumes a single column of text of variable sizes; 6 assumes one uniform block of text; 7 treats the image as a single text line and 8 as a single word. Tesseract’s documentation advises trying a different mode when you are reading a small region rather than a full page.

Deep-learning detectors are trained on annotated page images. PubLayNet, built from over a million PDF articles on PubMed Central, holds over 360 thousand document images. LayoutParser is an open-source toolkit for applying such models, and Google’s Layout Parser processor returns text, tables and lists as context-aware chunks.

04

Where it goes wrong, and what to test

  • Two-column pages read straight across instead of down each column.
  • Tables without ruling lines, or with merged cells, come out as loose text.
  • Skewed scans: Tesseract’s documentation says line segmentation quality falls significantly when a page is too skewed.
  • Stamps, signatures and handwriting over printed text.
  • Headers and footers that repeat on every page and end up in the middle of sentences.
  • To test a tool, pick pages of each kind you handle, such as a tender with annexures, an invoice and a form. Check the reading order, compare table cells with the original, and confirm that headers and footers are handled.

Where ANVE stands

ANVE’s documents function answers questions over the office’s own documents and shows the source passage, and its vision models read scanned pages. Test any tool, ANVE’s included, on your own tenders and invoices.

06

Questions people ask

Is layout analysis the same as OCR?
No. OCR reads characters. Layout analysis decides what each region of the page is and in what order to read it.
Why does my PDF summary mix up the columns?
The reading order was wrong. A tool that reads left to right across a two-column page joins lines from different columns.
Will a table survive extraction?
It depends on the tool. Google’s Form Parser, for example, extracts tables and key-value pairs from structured forms. Check cell by cell on your own documents.
Why does layout matter for AI search?
Good chunks follow headings and tables. Splitting a page at arbitrary lengths can cut a table or a clause in half. See our chunking page.
